    The Opportunity

    The Director’s Assistant provides advanced editorial and administrative support to James Thomson, Director of Regenerative Biology, including editing scientific papers and other publications, coordinating materials with scientific collaborators, preparing materials, ordering lab supplies, scheduling meetings and corresponding with internal and external contacts.  


    Primary Responsibilities

    • Edit and submit scientific papers, book chapters, and other publications to ensure they meet editorial requirements and deadlines including but not limited to:
      • Shepherding publications throughout the entire process from manuscript preparation through publication
      • Requiring frequent communications with editorial staff from publishers and scientific staff
      • Coordinating materials with scientific collaborators at UW and other institutes
    • Assist with computer generated graphics for presentations and publications and communicate with scientific staff to ensure appropriate programs/formats are supplied.
    • Provide overall lab support by ordering supplies and equipment. Act as department liaison to finance for purchasing.
    • Assist Associate Director of Lab Operations with effort requirements/certification, annual reports, collection and maintenance of information from Key Personnel and other required grant/contract materials, and correspondence with funding agencies to ensure all deadlines are met on funded grants. Assist with assembling and submitting funding proposals.
    • Assist with patent disclosures.
    • Coordinate rooms for all meetings. Supply all meetings with A.V. equipment, presentation material, food, etc as required
    • Maintain and distribute all lab meeting schedules.
    • Interact with new staff members with a welcome checklist and advise them where they need to go regarding keys, documentation etc. Interact with departing staff to request keys and the completion of exit checklist and follow-up.
    • Assist the Director and lab members in travel plans, general correspondence, editorial responsibilities, letters of recommendation and perform miscellaneous duties as instructed by supervisor or laboratory needs

    Education and Experience

    • Bachelor’s degree
    • Strong writing skills essential; editing experience highly desirable.
    • Administrative experience highly desirable

    Knowledge, Skills and Abilities Required

    • Ability to exercise sound judgment and flexibility while working with initiative and independence within a collaborative team environment
    • Proficiency with a variety of computer software applications (Word, Excel, Illustrator, Keynote, Endnote, and Photoshop)
    • Ability to use computer and drawing skills to convert scientific data into graphical representations
    • Excellent oral and written communication skills
    • High level of accuracy and attention to detail in composing, typing and proofing materials
    • Demonstrated ability to develop, manage and execute wide variety of projects, manage multiple assignments and meet deadlines
    • Ability to maintain high level confidentiality
    • Ability to collaborate with a team
    • Demonstrates use of respect and dignity in decisions, communications, and actions

    Working Conditions and Physical Effort

    • Work is normally performed in a typical office environment
    • No or very limited physical effort is required
    • No or very limited exposure to physical risk
    • A minimum amount of travel is required
